Uniquely Allows You to Manage the Certainty of Successful Outcomes

PPAT uniquely allows you to manage the certainty that you will be successful with achieving a targeted result. Based on applying the 6-3-5 Method, it uses easy-to-understand dashboards and our powerful "Workforce Alignment to Business Expectations" algorithm. Working as a "smart" MS Excel file implementing a three button "command and control" system, PPAT gives you complete visibility and control over managing activities and improving the certainty of all your business outcomes - with mathematical precision. This amazing technology, simple and elegant, can be used as a stand-alone tool or can automatically interface with your existing systems. It seamlessly compliments your current processes and can support one to one thousand people, and as many projects/initiatives/events/goals. Minutes of use can support months of outcomes.

Makes it all so easy:    PPAT simplifies the entire management process by using only three buttons to effectively manage any number of projects and focus each on meeting budget, schedule and quality goals. PPAT is extremely easy to use, straight-forward to follow, very graphical, and optionally can use your email system to automatically/effortlessly communicate tasking and status. This tool seamlessly integrates with other systems, and because it’s an Excel file, it’s already familiar to use.
Single Capability and Motivation Metric
PPAT Overview and Dashboard Example (PDF)

Continuously improves productivity:   PPAT dramatically improves productivity with a feature that helps automatically align a team’s capabilities to tasking needs - with mathematical precision. And since learning and on-the-job training are keys to successful results, it automates and facilitates the team learning process using insights and results that are represented in easy-to-understand Lessons Learned graphs. This is a quick and effective way to do continuous improvement.

Makes success a certainty:   The tool has another feature that’s quite amazing for its three button design: it provides statistical analysis to assess and increase the certainty that a team will meet their goals, again using easy to understand graphs. When an issue is proactively identified, PPAT's automation guides the team through a self-directed process to determine an optimal, "perfect fit" solution. This approach eliminates hassles, headaches and anxiety. It quickly brings a team into consensus with identifying solutions that have the highest degree of certainty in achieving successful results.

World class technology:   Combining mathematical precision with a powerful capability, PPAT uniquely allows you to simply and easily manage the certainty of a team’s ability to meet budget, schedule and quality goals. Remarkably, this is all done USING ONLY THREE BUTTONS - a simple and elegant design to use either as a stand-alone management tool or seamlessly compliment other technologies/processes. This makes PPAT unequaled in capability, flexibility, ease and simplicity.

Single Capability and Motivation Metric

The PPAT is:

  • Intelligently designed to implement and use in minutes, works as a "smart" MS Excel file, offering you a very familiar and intuitive interface - it is an elegant and friendly tool to use
  • Customizable to automatically interface with existing management systems, providing complementary support in minutes, or can be easily expanded to provide stand alone capability - depending on your needs and how you want it provided

The PPAT allows you to:

  • Establish high levels of performance by increasing team communication, accountability, involvement, discovery, understanding and support within the team - where levels are measurable and visible
  • Provide a more collaborative environment, not just for the team, but also for customers, promoting a customer's empathy and constructive participation to be on your side and in support of your decisions
  • Automate the learning and growth of a team, providing an integrated approach for on-the-job training, reducing the time and resistance of a team to focus on and participate in continuous improvement
  • Promote team self-direction and self-optimization of their abilities to improve the certainty of a successful outcome
  • Cause a team to have quality participation - employees will thank you for using PPAT to support their work load, allowing them to more easily and successfully meet your expectations

Use PPAT to Create Ideal End-of-the-Day Results

At the end-of-the-day, it's a person's ability to adapt, synergize with other peers and perform with consistency that will reliably deliver results and meet expectations. Use our simple PPAT approach to make sure that people can stay at their peak, day after day, month after month, independent of the unforeseen and unexpected. Until this evolutionary technique, an individual or team could easily “feel” victimized by unexpected situations and circumstances, resulting in failed expectations, lengthened timelines and financial stress. That’s over!

Proven and refined for over 30 years, our dashboard and self-guided algorithm ensures that end-of-the-day results consistently meet business expectations and reduces business costs. PPAT gives you unprecedented clarity to improve alignment by 60 to 70%, as analyzed and verified by your own experience.

The bottom-line: PPAT dramatically improves a person or team's alignment in meeting expectations with greater ease and reliability.

The PPAT approach:
  1. Takes minutes to support months of successful outcomes
  2. Uses a simple 4-step approach to discover how well a person/team are set up to succeed
  3. Makes it simpler for people to align to expectations, synergize with peers and work at peak performance

Additional cost benefits when applied to management and their teams:

  1. Makes conflict resolution simpler and more direct to achieve
  2. Causes and tracks continuous cost reductions (optional)
  3. Provides solutions to a variety of current business challenges
  4. Supports industry best practices analysis and reporting (optional)
  5. Enhances constructive performance review feedback
  6. Makes delegating a science - causing greater control of the outcome

PPAT Alignment Dashboards - Track the Certainty of Success and from it a Continuous Cycle of Cost Reductions

PPAT Dashboard Example

The improvements that result from increasing the certainty of outcomes can also cause cost reductions that are tracked in Full Time Equivalent (FTE) Hours via the before and after dashboards. Cost reduction estimations are calculated using the “Average Performance Range and Index” (APRI) scale.

PPAT takes only minutes to implement, collect data and automatically populate the business dashboard. Although populated automatically, the results described on this dashboard can affect months of successful outcomes. It increases performance consistency, team victories, customer praises and budget stability. When using this dashboard, everyone wins!

Review White Papers describing the details of how our simple to use Alignment and Dashboard Technology can make a significant difference:

  • Ensuring multi-layered organizations meet quarterly goals... ("White Paper")

This is a SAFE and PROVEN way to create specific actions, owned by the employees, that will:

  1. Reduce costs
  2. Create more opportunity for learning and growth
  3. Achieve organizational goals more reliably and efficiently

The dashboard provides visibility into "Status of Actions to Improve Likelihood..." that can yield "Potential Cost Reduction..." - two key cost-focused KPI/Metrics. In addition to cost reductions, when the light goes from red to green, that also means that employees are reliably delivering greater customer satisfaction and improved performance throughout the organization - meeting quarterly and yearly goals with greater ease.

Buys More with Your Budget/Creates a More Competitive Bid - With PPAT It Takes Seven Steps!

buys more with your Budget creates a more competitive bid

Create A Budget That "Buys" More: The Peak Performance and Alignment Template (PPAT) provides a systematic, scientific “Theory of Constraints” approach to create a “good” budget that meets your needs and ensures successful results. The seven step approach uses “Theory of Constraints” analysis to systematically refine your budget, line item by line item, using our powerful and proven Alignment Algorithm. The algorithm, running within Excel*, provides an automated ability to ensure every dollar in your budget goes further, and the expected results throughout the year from spending it are all successful.

Step 1:    Use PPAT to automatically import a list of budgeted line items and then ask the Subject Matter Experts (SMEs) to consider seven success parameters defining expectations when performing each line item, including “hot spots” (items needing preferential attention).

Step 2:   PPAT will next apply, within minutes, the Alignment Algorithm to assess the certainty of each line item in meeting budget within the Average Performance Range and Index (APRI) restrictions & requirements defined, including the seven success parameters

Step 3:   PPAT will automatically perform a “Theory of Constraints” analysis to identify weakest to strongest estimations by line item within the proposed budget. Results are shown within a stoplight dashboard.

Step 4:   For line items having “Green” indicators, PPAT’s automation supports the SMEs in reducing those budget estimates and related variables by an aggressive factor. This reduction causes “Green” indicators to turn low “Green” or high “Yellow” with regard to workforce alignment in meeting goals. This identifies the amount of potential money available.

Step 5:   For each line item that initially has “Red” indicators, the Alignment Algorithm guides the SMEs to improve the mathematical certainty of meeting budget, turning the “Red” indicators to low “Green” or high “Yellow,” as validated by the SMEs using the algorithm. This step validates the amount of actual money available to "buy" more.

Step 6:   PPAT repeats Steps 4 and 5 until each line item is either a low “Green” or high “Yellow,” ensuring each line item can successfully meet the previously defined expectations, where “hot spots” are appropriately adjusted. Using this process, the more “Green” items means the greater likelihood of creating successful results. The budget now is set for success.

Step 7:   Statistical analysis per line item can be done at any time using PPAT. Yet, this final step is only performed when all line items are consistently high “Yellow” or low “Green.” At that point, the PPAT can be used to do a final statistical analysis to ensure that the highest mathematical certainty of success exists for the given budget

Super Usability with SOUL

After finalizing the budget, PPAT’s Dashboard and Algorithm Technology can be used to continuously track and improve the certainty of meeting each budgeted line item. PPAT automatically creates Lessons Learned entries and continuous process improvements to ensure an increased mathematical certainty of having a “good” budget.

NOTE: The purchase of additional software modules complementing the standard PPAT Dashboard and Algorithm package may be required depending on how the software interfaces with other systems when collecting data to determine statistical confidence of each deliverable/WBS/task element.

PPAT's ability to mathematically analyze bids is based on an advanced technology we developed in support of billion dollar programs called the Bid Validation & Contract Analysis (BVCA) software tool.

Create a More Competitive Bid: The Peak Performance and Alignment Template (PPAT) provides a systematic, scientific “Theory of Constraints” approach to creating a “lowest bid, technically acceptable” submission. The seven step approach uses “Theory of Constraints” analysis to systematically improve the cost structure, element by element, using our powerful and proven Alignment Algorithm. The algorithm, running within Excel*, provides an automated ability to make the bid more competitive, integrating fully with your existing systems. PPAT makes it easier and more consistent to create winning proposals.

Step 1:    Use PPAT to automatically import a list of line items and then ask the proposal Subject Matter Experts (SMEs) to consider seven success parameters defining expectations when performing each line item, including “hot spots” (items needing preferential attention).

Step 2:   PPAT will next apply, within minutes, the Alignment Algorithm to assess the certainty of each line item in meeting budget within the Average Performance Range and Index (APRI) restrictions & requirements defined, including the seven success parameters.

Step 3:   PPAT will automatically perform a “Theory of Constraints” analysis to identify weakest to strongest bid estimations by line item within the proposed bid. Results are shown within a stoplight dashboard.

Step 4:   For line items having “Green” indicators, PPAT’s automation supports the SMEs in reducing those bid estimates and related variables by an aggressive factor. This reduction causes “Green” indicators to turn low “Green” or high “Yellow” with regard to workforce alignment in meeting goals. This is the 1st of two parts to reducing the estimate.

Step 5:   For each line item that initially has “Red” indicators, the Alignment Algorithm guides the SMEs to improve the mathematical certainty of meeting estimate, turning the “Red” indicators to low “Green” or high “Yellow,” as validated by the SMEs using the algorithm. This is the 2nd part & ensures the estimate is as low as possible.

The bid is now as low as possible while still having the minimal requirements needed to be implemented successfully.

Step 7:   Statistical analysis per line item can be done at any time using PPAT. Yet, this final step is only performed when all line items are consistently high “Yellow” or low “Green.” At that point, the PPAT can be used to do a final statistical analysis to ensure that the highest mathematical certainty of success exists for the proposed bid.

Super Usability with SOUL

After winning the contract, PPAT’s Dashboard and Algorithm Technology can be used to continuously track and improve the certainty of meeting each estimated deliverable/WBS element. PPAT automatically creates Lessons Learned entries and continuous process improvements to ensure follow-on proposals have an increased mathematical certainty of winning.

PPAT Ensures Initiatives/Changes are Embraced and Valued by Employees Undergoing Change

Change is by definition considered unsafe for an employee. Change can promote hidden agendas and unseen resistance. PPAT takes only minutes to use and provides a “safe” means for your entire workforce to surface and address these hidden agendas costing your company time and money.

Based on the SOUL architecture, PPAT allows peers a constructive approach to communicate support of each other in managing on-the-job excellence and increasing task efficiencies associated with old and new initiatives. This peer-to-peer communication exchange using PPAT and following the SOUL architecture causes employees to own the issues and their solutions. This ownership results in better workforce alignment to meeting goals and initiatives. It also ensures follow-up to actions needed to resolve any problems uncovered. This ownership is not forced, but initiated by the employee, because the actions also affect the team's improved capability and motivation levels. If you want your new initiatives accepted, embraced and valued, then motivation levels must be managed. PPAT provides a very easy approach to do this.

When you use PPAT to do this, it becomes a win for all concerned. The customer becomes more satisfied. The business reduces costs. The team is more supported and the individuals within the team gain more personal value.

PPAT offers a simple, straight-forward way to:

  1. Identify and resolve unaddressed issues costing the business money
  2. Get employees more engaged and proactive in supporting management initiatives
  3. Precisely/objectively align employees' capability and motivation to business goals - where employee motivation measurably increases causing initiatives to be accepted, embraced and personally valued

Let us show you how to use PPAT to give you some very powerful answers to ensure that your roll-out of a new initiative meets its targeted financial benefits. Employees want to do well. They want to accept, embrace and value change. PPAT very efficiently and rapidly addressed their fears, makes them accountable for the solutions to their issues involving change and allows you to manage, with certainty, a successful business initiative!

          SOUL Problem Solving Approach
Problem Solving (PDF)

Within any change initiative, organizations need to surface and resolve issues quickly, painlessly and efficiently. PPAT offers a way to get clear and concise resolution of core business issues using two straight-forward measurements. Combining these measurements, along with two other success factors, gives you powerful visibility and control over the dynamics of your organization. The two measurements are:

Single Capability Metric (SCM) and Single Motivation Metric (SMM): Unlike other measurements that complicate the concept of employee capability and motivation, The SCM and SMM combination shows you how to safely apply these powerful measurements to reveal, in minutes, specific answers to the following business questions...

 .

Single Motivation Metric
  1. Are there unaddressed issues within the company dynamics that are causing your employees to be misaligned in their capability and motivation to meet your business needs? How much is this misalignment costing your business? What is the proper corrective action?

  2. Do groups within your organization feel victimized by unintentional barriers, inhibiting their ability to do their work well? What actions are necessary to overcome these barriers?

  3. When unexpected challenges occur, are your groups inherently set up to overcome and succeed? What capability and motivation factors are needed to reliably support this outcome?

  4. What causes your employees to have a positive motivational experience at work? Do they perceive it as positive? Do your customers perceive them as having a positive experience?

  5. When capability and motivation road blocks in certain groups are removed, how much will workforce performance improve and when? What is the cost benefit? What are the actions that remove these road blocks?

  6. How can a manager know what to focus on and what actions to take BEFORE performance is impacted and money is lost? Financially how much is gained from being proactive?

PPAT Reduces the Time for Performance Reviews and Causes Greater Impact

The PPAT approach simplifies performance reviews and causes greater impact by providing easy to understand trend report that makes the review about peak performance and the enthusiasm to achieve it!

PPAT provides a trend report that uses a proactive approach to ensure peak performance and enthusiasm issues are handled before they affect business growth and health. This report is specifically designed to enhance performance reviews by providing a straight-forward means to have constructive and safe communication that promotes insights into performance issues and their quick resolution.

A telling article by the Wall Street Journal entitled, “Work Reviews Losing Steam,” describes how it is necessary to find new ways of promoting constructive feedback. PPAT trend report ensures employees are set up to have peak performance and the enthusiasm to achieve it.

Keeping it simple but powerful...

PPAT offers a simple, but very effective, 15 to 30 minute approach to enhance communication during a performance review. It makes is easier for employees to learn from the past to better ensure he or she is better set up to handle current and future tasks with peak performance.

PPAT is broken into easy to follow sections, with automation to support the feedback and discussion process. Examples of some key sections are described below:

  • Learning from the Past to Ensure a Better Future - This section focuses on key questions that allow past performance to be used to better align an employee's career path to your organization's success criteria.
  • Understanding your Business's Needs - This section focuses on discussing and understanding the employee's tasks to-be assigned over the next six months (to a year). The goal is to structure tasks that will mutually achieve business/management goals along with the individuals career path milestones described in the previous section.
  • Being set up to Succeed - This section is structured to give the employee quality discussion and feedback time, allowing the business and the individual to mutually "win" from the result. This section uses the capability and motivation assessment approach to resolve core productivity and performance issues, sometimes within minutes. It answers the "What, How, When and How Much" questions described below with critical accuracy.

This type of discussion/feedback using PPAT ensures an individual's capability and personal/motivational value system to be in alignment with the business's goals. When people's personal value system are in alignment with the work they are doing, they are more motivated and have a higher tendency to excel in meeting management and customer expectations. When they are fully utilizing their experience and skills, they again have a higher tendency to excel in meeting management and customer expectations. It's a cause and effect relationship that allows for constructive and focused feedback, where both the business and individual "win" from the conversation.
